RISK ASSESSMENT –  HIGHWOOD VILLAGE HALL

This Risk Assessment is prepared in order to help us to mitigate the risk of transmission of Covid-19 at Highwood Village Hall, by person-to-person contact, or via equipment and facilities.  

This must be seen as a Dynamic Risk Assessment, to be updated as guidance and circumstances alter. The Initial and Adjusted

Assessments show the effect of actions taken, on the likelihood of transmission of Covid-19. (Reduced from 15 to 5)

General Covid-19 Risk Assessment, and Overview  In case of emergency, it is important to prioritise safety; e.g. in the event of fire or accident, people do not have to stay 2m apart if it would be unsafe to do so.

Move anyone feeling unwell into the ‘COVID-19 Designated Area’, until they can be transported home – or to hospital.

Use tissues, rubbish bag, bowl (soapy water from the toilet), paper towel, provided in the bowl. Keep sealed for 72 hours.

Take everyone’s contact details; they may need to be Tracked and Traced, then they must leave the hall.

Decontaminate the area. Hall to be closed for 72 hours.

Everyone who has been in the hall is to clean their clothes and sanitise thoroughly.

Booking clerk, committee, and cleaner to be informed.

Hall to be thoroughly sanitised.

SC4 revision: ‘SC4: You will make sure that everyone likely to attend your activity or event understands that they MUST NOT DO SO if they or anyone in their household has had COVID-19 symptoms in the last 48 hours; has tested positive for the virus; or is required to self-isolate for any other reason e.g., following certain travel abroad. If they develop symptoms within 10 days of visiting the premises, they MUST seek a COVID-19 test’.

Users or occupants of the hall, staff and committee members Transmission to other members of the group and premises. Reduce person-to-person contact in order to mitigate the spread of infection. Maximum of 100 people, (which includes a leader), to use the hall at any one time.

Specifically risk assess those who are particularly vulnerable – or over 70 years of age.

Everyone Contamination of the Hall and equipment Cleanliness of the hall and equipment, especially after a series of hirers.

 

Other hirers or hall cleaner have not cleaned the hall or equipment used to standard required.  Group leaves the hall or equipment without cleaning it.

Hirers to clean the equipment they have used, using the spray sanitiser.

Hirers may use the cleaning equipment, ‘Power Mop’ use with disposable head mops, spray & wipes to be provided by HVH in the cupboard.

The cleaning of the hall is now more regular; hirers should only clean the floor if it is soiled.

Hirers are to clean, tables, chairs, door handles, toilet, hand-basin, handles, and light switches (with spray sanitiser provided by HVH).

Hirers to indicate what equipment they will use on their own RAs. Hirers are responsible for the sanitisation or removal of any equipment used. Such as table-tennis tables, gym-mats etc

Hirers to bring their own drinks and containers.

Cleaners to be given PPE and guidance in the event of a Covid incident.

Certificate indicating date of last sanitisation is at the front entrance, in file-sleeve.

Hygiene

Transmission to other members of the group. Hirers must still ensure basic covid precautions are undertaken, such as; handwashing and the use on sanitiser, regular cleaning and wiping surfaces and equipment.

Encourage group to avoid touching mouth, eyes and nose.

Encourage group to sneeze into a clean tissue, or the crook of their elbow. Hirers to provide tissues and bin bags, and ask everyone to dispose of rubbish in the bag, that the hirer takes away with them to dispose of into the outside bin.

Maximise ventilation to the hall. Use air-conditioner and hall air-exchange system, as well as natural ventilation from the opened Exit door.

Face coverings, unless you are exempt, must be worn at all times in the hall building, unless you are exercising. Whilst exercising, it is left to individual participants, if they wish to wear one. It should be noted that wearing one whilst exercising, may cause breathing issues.

Even if choosing not to wear one whilst exercising, one must be worn pre (& post) exercise.

If attending a sit-down meeting, masks must be worn until everyone is seated at a min. 2 metre distance, when it may be removed for the duration of the meeting – and replaced when people begin to leave.

Hand cleanliness

Transmission to other members of the group Advise group to sanitise on entering and exiting the hall, then after any contact, and in the use of tissues.

To wash hands in the toilet using soap, hot water and paper towels. (Do not use the hot-air hand driers).

Hirers and their clients Misunderstanding of the safe behaviour required to stay safe by keeping social distance, and hygiene. Communication of advice to prevent transmission of COVID 19 via emails, web site and signage.

Hirers to be given a copy of our Risk Assessment and sign an agreement that they will comply with it.

Clear frequent signs indicate permitted use of areas.

Areas have been zoned to limit person to person contact.

ZONE 100 main hall

Self-certification to be displayed that the hall complies with COVID 19 Secure Guidelines.

Prevention of contamination in the car park and entrance to the building.

Close contact risking contamination by: parking too closely, strangers using the car park, hirers overstaying their time and being in contact with other users. Entrance is a possible ‘pinch-point’, and should be supervised by hirer.  VISITOR INFORMATION signs say

·         Car parking is only for the duration of your hire

·         Sanitise hands at regular intervals.

·         Wait for your group leader to guide you into the hall.

Prevention of contamination in the toilet.

Toilet being contaminated and not properly sanitised for the next user.

 

Toilets are to be sanitised by the person using it, using paper-towel and spray-sanitiser.

Paper towels then placed in the bin.

Signs indicate how the toilet, door-handles, soap-dispenser, taps and toilet-flush should be cleaned.

If the bin is used during the hiring, the bag is to be disposed of by the hirer, at the end of their hire, in the outside bin. Please replace with a new bin-bag.

Prevention of contamination via light-switches and door-handles

Reduce risk of contamination via door handles and light switches.

Transmission of the virus

Hirers only to open and close doors and turn lights on and off.

Interior doors to be kept open during a hiring, closed after a hire, and in the event of a fire.

Hirers to use spray sanitiser to clean door-handles and light-switches as they leave the building.

Hirer specific Risk Assessments specify what action hirers will take. These are to be agreed before hire is permitted.
